Olympia & Associates is committed to protecting the privacy and security of your personal information. This Privacy Policy describes how we collect, use, disclose, and protect personal information when you engage our consulting services, visit olympia-associates.ca, or communicate with us.

We collect personal information when you inquire about or request our services; sign a proposal or service agreement; participate in a consulting, coaching, or advisory session; complete intake questionnaires; communicate with us; or provide documents in connection with an engagement.

Depending on the practice area, this may include:

  • Professional and career information: Employment history, education, skills, career goals, resumes, LinkedIn profiles, and transcripts.
  • Engagement data: Session notes, pathway analyses, strategic documents, and deliverables.
  • Billing information: Payment records and transaction history. We do not store credit card or banking details directly.
  • Immigration and family information (Newcomer & Immigration Pathways): Family composition, immigration status, and personal documents.
  • Minor's information (Career Consulting — High School): Academic records and biographical information, collected with verified parental consent.

When you visit our website, we may collect limited technical information including IP address, browser type, and pages visited — used for security and analytics purposes only.

To communicate with you: Send updates relevant to your engagement; respond to inquiries; and share information about our services where permitted by law.

For legal and operational purposes: Comply with applicable laws; enforce our Terms of Service; and detect, prevent, and address fraud or security issues.

AI Tools and Personal Data

Firm boundary: Client personal data is not submitted to, stored in, or processed by any AI tool. This applies to all personal information across all practice areas — names, contact details, biographical information, family information, financial circumstances, career history, immigration status, and any other identifying information you share during an engagement.

AI tools are used exclusively in connection with general frameworks, strategic content, research, and document structure — none of which involves personally identifiable client information.

We use only professional-grade or enterprise-licensed AI tools with documented privacy standards. We apply critical human judgment to all AI-generated content before it is incorporated into any deliverable. AI outputs are inputs to human reasoning — not conclusions or recommendations in their own right. You may ask how AI was used in preparing any deliverable and will receive a direct, plain-language answer.

  • Consent: Where you have expressly consented to collection and use.
  • Contract: Where processing is necessary to perform a service agreement.
  • Legitimate interests: Where processing is necessary for our legitimate business interests, provided those interests do not override your rights.

For consulting engagements, we typically retain client records for a minimum of seven years following completion. When personal information is no longer required, we delete or securely destroy it.

Our Career Consulting — High School stream serves minors. All services involving minors are contracted with and governed by the consent of a parent or legal guardian. We do not collect personal information from individuals under 18 without verified parental consent. If you believe we hold information from a minor without appropriate consent, please contact us immediately.
